Title: Mobility Analyst & Information Governance Specialist
Duration: 2 Month Contract
Location: Remote available in these locations ONLY: Houston, Dallas, Austin, San Antonio
Hourly Range: Up to $30/hour depending on experience

Summary
This role supports the movement, coordination, and oversight of physical and electronic client files throughout their lifecycle. The specialist ensures all transfers align with internal policies, legal standards, and information governance best practices. The position works closely with multiple internal teams to support onboarding, offboarding, file transfers, risk mitigation, and compliance activities within a fast-paced professional services environment.
Responsibilities
Manage and coordinate file transfer requests, ensuring timely and accurate movement of both physical and digital materials.
Facilitate the secure exchange of client documents across offices, departments, and external parties.
Support onboarding of new hires by organizing the intake and integration of incoming files.
Assist with offboarding processes, ensuring proper handling, transfer, and disposition of departing staff's materials.
Review documentation for appropriate classification, retention, and adherence to governance standards.
Collaborate with IG, IT, Conflicts, and other teams to streamline and support mobility workflows.
Maintain detailed audit trails and documentation for all mobility activity.
Ensure compliance with confidentiality, security, and professional standards related to client information.
Utilize IG and document management platforms to track content movement and validate metadata.
Respond to inquiries regarding file mobility, providing guidance on related procedures and policies.
Identify mobility risks and escalate issues when necessary.
Contribute to process improvement initiatives to enhance workflow and documentation practices.
Support disposition activities, ensuring files are retained, archived, or disposed of properly.
Produce reports and metrics related to mobility activity and workflow volume.
Participate in projects tied to IG systems, technology enhancements, or automation initiatives.
Stay informed on legal and regulatory requirements related to information governance in a legal environment.
Perform additional duties as needed.
Understand that responsibilities may evolve over time as needs change.
Skills
Bachelor's degree in Information Management, Library Science, Business Administration, or equivalent experience.
2-4 years of experience in information governance, records management, matter mobility, or related work in a professional services or legal environment.
Knowledge of legal file movement practices, including onboarding and offboarding procedures.
Experience using Document Management Systems (DMS), preferably iManage Work.
Familiarity with records management tools such as LegalKEY or similar platforms.
Strong understanding of IG and records management principles.
Excellent organizational capabilities and ability to manage multiple requests at once.
Strong communication and interpersonal skills with cross-department collaboration experience.
Proficiency with Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint).
High attention to detail and strong problem-solving skills.
Ability to work independently and within a team in a fast-paced setting.
Preferred but not required: Certifications such as CRM, IGP, or similar.
